Snow Globe Squad – Event Brief

Event Details  

Event: ellenor Snow Globe Squad 
Dates: Fri 5 Dec – Fri 2 Jan 
Location: Bluewater Shopping Centre – Upper Mall outside M&S 
Audience: Bluewater shoppers 
Purpose: To bring festive fun to shoppers while raising awareness of our Christmas Snow Globe Moments campaign. Learn more at https://www.ellenor.org/snowglobe/. A6 postcards with a brief explanation are also available to hand out to the public. The snow globe operates only when volunteers are present – you are making the magic happen! 

Volunteer Requirements 

Morning: 10am–1pm (arrival 9:45am) 

Afternoon: 1pm–4pm (arrival 1:00pm; finish 4:15pm) 

What to Wear 

  • Comfortable clothing and enclosed shoes (trainers recommended; no heels). 
  • Expect clothes/hair to get very snowy! 
  • Festive headwear and an ellenor lanyard provided on the day –  

Practical Info 

  • Refreshments: Please bring these with you – the snow globe must be staffed by two people at all times. 
  • Personal belongings: Please bring minimal belongings. All areas are open to the public, and items should not be left unattended. We cannot take responsibility for any lost or damaged personal property 
  • Toilets: Next to Costa Coffee or inside M&S. 
  • Parking: M&S car park is closest. 

Your Role 

  • Welcome guests, explain safety rules, and manage queuing. 
  • Assist with safe entry/exit. 
  • Promote donations and the photo competition. 
  • Keep the area tidy. 

Opening times of the snow globe 

If asked about future opening times, explain that the snow globe operates only when volunteers are available, so set hours cannot be published. Please direct the public to our social media for updates. 

On the day 

Morning Shift 

Collect the following from the concierge desk (Ground Floor, outside M&S — directly below the globe): 

  • 1 x Orange ellenor volunteer lanyard per person (also used for card donations) 
  • 2 pull-up banners: Safety Notice + Win a £100 Gift Card  
  • Hetty hoover 
  • Snow Globe Information Folder 

Afternoon Shift 

Items will already be in place. Please collect your lanyards from the morning volunteers. 

Setting Up (Morning Shift Only) 

Barriers – Keep the globe barriers in place until you are fully ready to open — it gets busy quickly! 

Banners – Set up the Safety Notice and Win a £100 Gift Card pull up banners on the right-hand side (when looking directly at the globe from the front), where guests will queue and enter. 

Unlocking the Snow Globe 

  • The zip is secured with a cable & padlock (code: 4444). 
  • Tuck the cable underneath after unlocking to avoid trip hazards. 
  • Keep the globe zipped until ready to open. 

Queue Setup 

  • Move barriers to create a queue along the balcony on the right side. 
  • Place one barrier across the front to mark the queue entrance. 
  • Leave enough space for safe entry and exit. 

Donations & Competition 

  • Suggested donation: £5 guests are welcome to donate more if they wish. 
  • Card only: guests can scan your lanyard’s QR code or the snowflake floor stickers. 
  • For the £100 Bluewater Gift Card competition, direct guests to the banner: 
    They upload photos/videos and tag ellenor + Bluewater. 

Operating the Snow Globe 

  • The globe remains inflated at all times. 
  • Power supplies are hidden underneath the snow globe – access only to plug/unplug the hoover. 
  • Two machines at the back:  

Right-hand fan: stays on continuously. 

Left-hand blower: controlled by the green button; only used when guests are inside. 

Before Operating 

  • Remove the white cover from the blower (replace at end of day)  
  • The globe has two doors and a small porch – one door must stay zipped at all times to maintain pressure. 

Entry Instructions 

  • Guests remove their shoes. 
  • Only two people to enter at a time
  • Follow the zip sequence on the back of the globe: 
  1. Open outer zip 
  1. Let guests into porch 
  1. Close outer zip 
  1. Open inner zip and let guests in 
  1. Close inner zip fully (backdrop zip stays open) 

During Their Session 

  • Switch on the blower (green button). 
  • Guests create snowfall by feeding snow into the hole inside the globe (located bottom right. 
  • To end session – Switch off the blower (red button) 
  • Guests exit 

Exiting 

  • Ask guests to brush snow off in the porch. 
  • Close the inner door before opening the outer one. 
  • Once outside, have them brush off again before wearing shoes. 
  • Ensure area is clear before the next group enters. 

Safety & Session Rules 

  • Ensure guests have read safety sign before entering 
  • Young children who cannot open and close the zip and operate the snow fall must be accompanied by an adult. 
  • No running or jumping in the globe. 
  • Shoes off at all times. 
  • Guest to enter the globe two at a time. 
  • Busy times: limit sessions to 3 minutes
  • Inform guests they will get very snowy. 
  • Take donations before entry. 
  • Use the hoover to clear snow during quieter periods. 

Ending Your Shift 

Morning Volunteers 

Just hand over your lanyards to the afternoon team – you’re done! 

Afternoon Volunteers 

Please complete the following: 

  • Move barriers back around the outside of the globe to indicate closure (approx. 15 mins before leaving). 
  • Position the 2 x large double-sided fabric banners neatly either side of the snow globe and ensure one of each design is visible from the front. 
  • Hoover the matted area. 
  • Pack down both pull-up banners into their black carriers. 
  • Replace the white safety cover over the blower. 
  • Secure the snow globe by attaching the zip to the wire cable with the padlock – (code 4444 to unlock) 
  • Return following items to the concierge desk:

Volunteer Agreement: In order take part in this activity we need you to read and sign this volunteer agreement prior to you volunteering.  

If you are a member of staff at ellenor you do not need to complete this.
