ellenor Event Terms and Conditions

By registering for this event, I agree that:

Participation

1. I confirm that I am fit to take part and understand that I participate in the Event at my own
   risk. ellenor is not responsible for any injury, illness, loss or damage arising from my
   participation, except where caused by ellenor’s negligence or breach of duty.
2. I understand that some events require adequate preparation or training, and I will take
   responsibility for ensuring I am suitably prepared.
3. If I am unable to attend or take part in the Event, I will notify the ellenor Events Team as
   soon as possible. Any transfer, cancellation or deferral options will depend on the Event’s
   specific rules and may not always be possible.
4. If I register additional participants, I confirm that I have their permission to do so and that I
   have made them aware of these terms and conditions.

For Third Party Events;

(Only applicable where the Event is organised by an external provider.)

5. I acknowledge that third-party events are operated and controlled by the external event
   organiser, who is responsible for the event’s safety, management and delivery. I will read
   and comply with the organiser’s own terms and conditions.
6. ellenor is not responsible for the organisation or operation of third-party events and accepts
   no liability for my participation in such events.
7. I understand that any charity places allocated by ellenor for third-party events may be nontransferable and non-deferrable unless clearly stated otherwise.

Donations, Sponsorship and Payment Terms (only applies to events involving fundraising)

(This section does not apply to events with no fundraising requirement.)

8. If the Event includes a fundraising target, I understand that any minimum fundraising
   amount will be clearly set out during registration and on the Event webpage.
9. I understand that any registration fee (if applicable) is used to cover event costs and is
   non-refundable and non-transferable, except where required by law
10. If ellenor requests fundraising milestones (e.g., a percentage raised before the Event), I will make reasonable efforts to meet these. I understand that:
    • Failure to meet these milestones may result in my place being withdrawn.
    • Any sponsorship already received must be treated as donations and cannot be refunded to donors unless required by law.
11. I will be transparent with donors and will not mislead anyone about how funds will be used.
    I will explain to donors what happens to their donations if I do not complete the Event.
12. I will pass on all donations to ellenor as soon as reasonably possible, and no later than 4
    weeks after the Event, unless otherwise agreed.
13. I understand that if ellenor is contributing to my Event costs (e.g., fee, travel,
    accommodation), I must make this clear to donors in accordance with the Code of
    Fundraising Practice.

Fundraising activities (only applies if I choose to fundraise)

14. If I undertake any fundraising activities, I will comply with ellenor’s fundraising guidance
    and the Fundraising Regulator’s Code of Fundraising Practice.
15. I will use ellenor’s fundraising materials responsibly and return any unused materials if
    requested.
16. I will only use lawful and safe methods of fundraising, and I will not do anything that could
    harm ellenor’s reputation.
17. If I organise my own fundraising activities (e.g., bake sales, raffles, quizzes), I understand
    that:
    • These activities are my sole responsibility.
    • I am responsible for all costs, risks, insurance, and permissions.
    • I must clearly state that the activity is “in aid of ellenor” and not run by or on behalf of
      ellenor.
    • ellenor accepts no liability for independently organised activities.
18. I will contact ellenor for permission before using the “in aid of ellenor” logo in any publicity
    materials.

Personal data and images

19. I understand that ellenor will use the personal information I provide for the purpose of organising, administering, and communicating about the Event, in accordance with ellenor’sPrivacy Policy and relevant data protection laws.
20. I consent to ellenor storing my information and sharing it with third-party suppliers or event organisers where necessary for Event delivery.
21. I will inform ellenor promptly of any changes to the personal details I provided during
    registration.
22. If I register additional participants, I confirm I have their consent to share their personal
    information with ellenor for Event administration.
23. I give permission for ellenor to use my name, image, photographs, video, feedback and
    comments for promotional or publicity purposes related to ellenor’s work and future events.
    This may include cinema ads, social media activity, ellenor’s website, printed materials, TV
    Ads, publications & other activities which may inspire others to participate in ellenor events.
    If I do not wish this, I understand I can opt out by contacting ellenor.

General

24. I will follow all instructions and safety guidance provided by ellenor or the event organiser.
25. ellenor reserves the right to modify, postpone, or cancel the Event when necessary for
    safety, operational or other legitimate reasons. Where a cancellation occurs that is not my
